1. General booking and cancellation conditions for individual accommodation bookings 

These booking and cancellation conditions apply when you book a room directly with the hotel by email or telephone. Please note that when booking a room or villa stay through online booking channels, the online shop’s booking and cancellation terms and conditions will apply instead. 

Accommodation is available from 3 pm on the day of arrival unless otherwise agreed. The room or villa must be vacated by 12 pm on the day of departure. 

Bookings for one day can be cancelled free of charge by 6 pm on the day before arrival. Bookings for more than one night can be cancelled free of charge 14 days in advance. For bookings that are cancelled later, Sahanlahti will retain/charge 50% of the value of the booking (for longer reservations cancelled less than 2 days before, we will retain 100% of the value of the booking). 

Advance payment may be required to confirm the booking. The deposit is 30 to 50% of the value of the booking (longer-term bookings / high season). 

At the time of check-in, the names of all guests must be given and will be recorded in the passenger declaration (in accordance with the official regulations for accommodation establishments). 

Sahanlahti has the right to cancel a booking for compelling reasons due to force majeure (the promised services cannot be delivered due to, e.g., strike, fire, water damage, natural disaster, state of war, etc., which impedes our ability to operate). In such a case, any advance payments will be refunded to the customer. The booking can also be transferred to another accommodation of at least the same standard (in this case, this will be agreed upon between Sahanlahti and the customer). 

2. Booking and cancellation conditions for group bookings for accommodation 

To ensure the best possible success of your arrangements, we require you to comply with the following conditions and recommendations unless otherwise agreed. 

Cancellations and changes to accommodation bookings can be made free of charge to the last confirmed number of rooms as follows: 

cancellation free of charge 45 days before the start date of the booking 
for cancellations made 44 to 15 days before the start date of the booking, the cancellation fee is 50% of the value of the accommodation 
if cancelled less than 14 days before the start of the booking, the full amount of the booking will be charged 
Group definition 
The minimum group size is 11 persons. A single group invoice will always be issued for a group unless otherwise agreed. 

List of names 
Please send a list of names and room allocations at least 2 weeks before your arrival date, with the following information: 

group name, arrival and departure dates 
group leader 
estimated time of arrival and estimated time of departure 
the times of possible meals and special diets 
any other accommodation requirements 
Payment method 
We will issue a joint invoice for the accommodation to the person booking accommodation. Payment can be made against an advance invoice, by cash, credit card or, for contracted customers, by subsequent invoice. For subsequent invoicing, a surcharge of 5 € / invoice will be added. 

Reservations cannot be transferred to a third party without the consent of Sahanlahti. For cancellations not made in accordance with the terms and conditions, Sahanlahti is entitled to be compensated for the full price of the unsold accommodation capacity. If the confirmed number of persons changes later than the above conditions, the hotel has the right to charge the customer for the costs incurred by the reduction of the number of persons (e.g., any personnel costs already incurred, lost sales of rooms). If necessary, we will negotiate payment and cancellation terms on a case-by-case basis. 

Other conditions 
For compelling reasons, Sahanlahti has the right to transfer the reservation to another accommodation of at least the same standard after consultation with the customer. Sahanlahti will reimburse the customer for the direct costs of the transfer. 

Accommodation reservations are not covered by the Package Travel Act. Hotel bookings are governed by the Act on Accommodation and Food Service Activities. The hotel may deviate from these terms and conditions, in which case the deviating terms and conditions will be communicated separately upon booking. The accommodation will be available from 3.00 pm. Check-out time is 12.00 pm on the day of departure. 

Insurance 
We recommend our customers to take out travel insurance for possible exceptional situations and events, as Sahanlahti is not obliged to accept cancellations without cancellation fees, e.g. on the basis of a medical certificate or similar. 

Force Majeure  
Sahanlahti has the right to cancel a booking for compelling reasons due to force majeure (the hotel cannot deliver the promised services due to, e.g., strike, fire, water damage, natural disaster, state of war, etc., which impedes Sahanlahti’s ability to operate). In this case, the customer will be refunded the advance payment. 

3. Booking and cancellation conditions for the Sahanlahti experience shop and online store

The following terms and conditions apply to bookings and purchases made through Sahanlahti Resort Oy’s online shop from 12 December 2018. 

General 

www.sahanlahtiresort.fi/elamyskauppa and https://cloud.hotellinx.com/NetReservationsSahanlahti are the online shops operated by Sahanlahti Resort Oy. The online shops sell services to individuals of legal age. 

Bookings made in the online shop are binding. After the customer has paid the booking fee and/or the full price in the online shop, the online shop will send a booking confirmation, the destination details, the booking conditions, and a receipt for payment to the e-mail address provided by the customer in the online shop. If the customer does not receive a booking confirmation, the booking has not been registered. It is the customer’s responsibility to check the information on the booking confirmation carefully because the booking is binding. 

Under no circumstances will the booking fee for the online shop be refunded. 

Cancellation policy 

Cancellation of a booking made in the online shop must always be made in writing directly to the service provider mentioned in the Destination details. 

The booking fee is non-refundable even if the booking is not used. 
The final payment must be made by the due date. If the final payment is not made by the due date, the booking will expire but the payment will continue to be collected. 
If the customer has to cancel the reservation, the final payment will not be refunded. 
Payment 

The payment and financial service related to payment is provided by Paytrail Plc (Business ID 2122839-7) in cooperation with Finnish banks and credit institutions. Paytrail Plc buys the payment and settles it with the merchant. From the user’s point of view, the service works just like a traditional online payment. 

Available Paytrail payment methods: Nordea, Osuuspankki, Danske Bank, Ålandsbanken, Handelsbanken, S-Pankki, Aktia, Säästöpankki, POP Bank, Visa (Nets), MasterCard (Nets), American Express (Nets), Collector Bank, Oma Säästöpankki, MobilePay 

Payments with Visa, Visa Electron, or MasterCard 

If you wish to pay with Visa, Visa Electron, or MasterCard, Sahanlahti Resort Oy acts as a marketer of the products and services and delivers the products to the buyer. Paytrail Plc is responsible for complaints. 

Paytrail Plc acts as the seller of the product in payments made with Visa, Visa Electron, or MasterCard cards, and the transaction is between the customer and Paytrail Plc. The seller is responsible for all obligations related to the transaction. Paytrail Plc is also the beneficiary of the payment.

Invoice 

By choosing to pay by invoice, the customer declares that their financial situation at the time of ordering is such that they are able to pay the amount of the invoice without any problems and that they are not aware of any circumstance that could jeopardise their ability to pay. The customer paying by invoice undertakes to cancel the products not yet delivered if their ability to pay deteriorates. Paytrail billing is handled by Collector Bank, which is also responsible for debt collection. 

Sahanlahti Resort Oy, Paytrail Plc, and the providers of this payment method reserve the right to check the credit rating of the customer paying by invoice. An invoicing surcharge and interest may be charged for issuing an invoice. 

4. General terms and conditions for bookings and cancellations of restaurant services 

These conditions apply to restaurant reservations made by individuals unless a specific agreement has been made. However, these conditions do not apply to bookings made by individuals if the booking is made for a group of 10 or more people. These terms and conditions also apply to restaurant bookings made via the internet through the Sahanlahti Resort website. The restaurant has the right to use special conditions that differ from these conditions if the use of special conditions is justified by holidays, special events specific to the restaurant, seasonal variations, or additional services related to table reservations. 

BOOKING AND CONFIRMATION 

When making your reservation, you will need to provide your name, arrival time, number of guests, and any special dietary requirements. The restaurant may make the reservation subject to various rules, payment of a reservation fee, or confirmation of the reservation by credit card as a condition for the reservation to be binding. 

For restaurant reservations, the restaurant may combine reservations for fewer than 4 people at the same table without prior notice. 

ARRIVAL AT THE RESTAURANT 

The table reservation is valid 15 minutes after the booked time. If you are arriving later than this, you must inform the restaurant. Otherwise, the restaurant can free the table. 

CANCELLATION 

Unless otherwise agreed at the time of booking, cancellations must be made by 6.00 pm on the day before the reservation. 

PAYMENTS 

Restaurants accept most common payment cards. However, the restaurant is not obliged to accept foreign currency, coupons, cheques, or payment cards unless the restaurant itself has offered to do so. 

CUSTOMER BEHAVIOUR IN RESTAURANTS 

We observe good manners and rules of order in the restaurant. If you break these rules, you may be immediately removed from the restaurant. However, you must pay the price of the services you have booked and ordered, and you cannot claim a refund of any payment already made. 

Sahanlahti Resort reserves the right to make changes to these terms and conditions. 

REGISTRATION OF PERSONAL DATA 

Sahanlahti Resort Oy’s customers’ personal data is registered at Sahanlahti’s customer information system. Personal data is processed and disclosed in accordance with the Personal Data Act (523/1999). The customer has the right to check the information in the register. 

Sahanlahti Resort has the right to use the registered address data for direct marketing, distance selling and other direct marketing, as well as market and opinion research unless the customer prohibits this.
